Below are the approved Board Minutes from January 26. If you have any questions or comments you can contact any member of the Board. Or post your question or comment here. The next Board meeting is scheduled for February 24 at 6 p.m. at the Wolf Road Diner. Board meetings are open to all members but please let a Board member know if you intend to attend so we can reserve space at the diner and let you know about any last minute scheduling changes. A list of officers and Board members is in the content area of our home page as well as printed in the Bikeabout.

General Discussion:

Agenda items:
Adopt Budget for 2009 – no new budget as of yet: need to review expenses for 2008 before developing plan for 2009
Review Expense Report for 2008
Overall net difference from 2007 of $5666.55 much of which was seen in the printing costs for BikeAbout ($3652.87 over 2007). Discussion as to whether printing costs have increased, having two increases in postage and perhaps has the BikeAbout larger/more pages than in the past adding to the increase.
Other portion of the difference seen in the development and printing of new brochure.
Discussion of revenue generating ideas for 2009 including sale of new jerseys, advertising and an increase in membership dues. Advertising to include insertion of brochures and applications into organized ride packets (Tour de Cure, MS ride), bike shops and perhaps having members spend time at bike shops on Saturdays in the spring.
ADK Sports and Fitness Expo discussed, consensus was that exhibit fee was still too high to warrant our presence.
Bylaws must be reviewed for rules regarding dues increase procedures (Bob Cohen)
Motion to accept Expense Report made and approved.
Review and Approve Expense for $765 (+ $30 shipping possibly) for 17 ride leader jerseys.
Motion to accept made and approved.
Approve expenses for Spring Kickoff/Ride Leaders Meeting, Fuller Road Firehouse, 3/5/09
Cost of approximately $15 pp, discussion of charging membership $10pp with the club picking up $5pp.
Motion to accept made and approved.
Review and Approve Expenses for Service Awards.
Discussion of three candidates (Brian Daniels, Joanne Petrozzi-Jones and Martha Mooney). Expenses not to exceed $75 for these three awards.
Motion to accept made and approved.
Approve Expense of Park Fee for Century weekend
Park fee currently $300 for weekend (up from $75/day 2008).
Discussion of combining of MTB fest with Century weekend. One fee for both options of road and mtb. Will be using SMBA trails and perhaps family mtn bike rides at SSSP. Possibility of making the weekend more family friendly.
Motion to accept fee of $300 made and accepted.
Approve expense of $450 to get order started for new club jersey.
This $450 will be reimbursed to the club by sales of said jerseys. Getting order started so we can have some at Spring Kickoff and take orders for them at that time. Discussion of sending clubwide email out and posting on web the announcement so members will com prepared (checkbook/cash) and that introductory jersey price would be $55.
Motion to accept $450 expense made and accepted.
Discussion:
BOD correspondence – best by normal email or using YahooGroups. Hitting Reply to YahooGroups email automatically performs a Reply All action. Instructions were made to email members individually for business where the entire group is not involved so as not to swamp people with emails.
Adding a Charity component to the Century.
Discussion as to how to include this – whether compulsory or optional – and how to choose a charity, that there would always be complaints as to what charity we chose. While we could likely save significant money (by donated foods and goods from local organizations) this effort would require a dedicated fundraiser. Decided that with a new Century Coordinator and the combining of Century and MTB Fest that we shouldn’t complicate things further by adding in a charity component this year.

In the past we’ve offered one set of mailing labels available for sale at the price of $125. Decided that this is no longer an option we will offer.
